The Role:

We are seeking a proactive and highly organised Executive Assistant to support our COO with day-to-day operations and key initiatives.

This a pivotal role handles the essential administrative and coordination duties, supporting the COO to focus on high-level strategic tasks.

 The ideal candidate will have exceptional organisational and communication skills, experience in a corporate environment, and a strong understanding of brand messaging.  
 

As our Executive Assistant to COO, you will:

  • Administrative Support: Providing confidential administrative support to the COO, including preparing and editing correspondence, communications, presentations, and other documents. Assistance to senior management including Managing Partner and Management team also required from time to time.
  • Meeting Coordination: Assisting in the preparation and tracking of action items from meetings, preparing meeting agendas, and coordinating, collating, and editing board reports
  • Schedule Management: Managing and maintaining the COO's schedule, appointments, and travel arrangements to ensure efficient time management
  • Internal Communications: Acting as the central point for internal communication coordination, ensuring consistent messaging across all levels of the organization, and maintaining and distributing key talking points
  • Project Management Support: Provide administrative support to the COO and Managing Partner with strategic initiatives

We’re excited to hear from you if you have:

  • 5 years’ experience as an Executive Assistant, ideally within the IP or Legal sector, supporting Board members and Executive teams
  • Advanced computer skills in Microsoft Office Suite and an aptitude for learning new software and systems
  • Excellent attention to detail
  • A solid understanding of brand management and the ability to maintain brand voice across communications
  • Ability to work collaboratively with senior leadership and internal and external stakeholders
  • High organisation skills, with the proven ability to manage multiple priorities simultaneously
  • Excellent communication skills, both written and verbal, with a focus on consistency in messaging
  • Ability to maintain confidentiality of information related to the company and its employees
