Client Information Team Leader

This is an exciting opportunity for a Team Leader to join our highly successful Information Technology team. We are accepting applications from Melbourne, Sydney & Brisbane.

The primary role of the Client Information Team Leader is to effectively lead and manage the Client Information Administration (“Names”) team to ensure accurate and timely data entry of client information.

 

Job Description

Daily responsibilities include:

  • Add and maintain core information for all parties involved in Intellectual Property matters (clients, associates, applicants, etc.) in our database
  • Capture and update information such as name, address, contact details, employees, billing and renewal instructions.
  • Maintain bespoke client standing instructions on the firm’s Intranet.
  • Liaise with assistants and attorneys to ensure we maintain accurate and up-to-date client instructions.
  • Manage the new client “Letter of Engagement” on-boarding process
  • Perform conflict checking using our purpose-built software.
  • Execute large portfolio updates requested by staff or clients.
  • Assist staff with queries related to Names information.

Team Leader responsibilities include:

  • Manage daily workflow of Client Information Administrators.
  • Mentor and assist Administrators as needed.
  • Continuously improve processes for receiving, adding, and maintaining Names.
  • Provide timely and effective feedback to ensure high service levels.
  • Attend team leader meetings and collaborate with other team leaders.

What we are seeking

We are looking for an experienced data entry administrator to lead a team of administrators in keeping our client database up-to-date. You will have a background in a professional services environment, preferably in the Intellectual Property sector. You will have the following skills:

  • Proficiency and experience with the Microsoft Office Suite (Word, Outlook and Excel)
  • Accurate and timely data entry skills
  • Well organised and efficient, with attention to detail and a “can do” attitude
  • Excellent customer service skills
  • Strong communication skills (both verbal and written)
  • Conflict management skills
  • Excellent time management including the ability to prioritise conflicting tasks
  • Ideally, experience using the Inprotech case management system
  • Ideally, experience using the iManage document management system
  • Ideally, experience using the DocuSign digital signing system.
